How we collect, use, and protect your personal data.
1. Who we are
ScanPraise ("we", "us", "our") is a sole trader based in the United Kingdom, and the data controller for the personal data described in this policy. You can contact us at scanpraise@outlook.com about anything relating to your data.
2. What data we collect
We collect the minimum data needed to sell and deliver our products:
- Order details: your email address (to deliver The Reseller Guide and/or Supplier Link access), and the products you purchased.
- Payment information: handled entirely by our payment provider — see Section 4. We do not receive or store your full card details.
- Correspondence: if you email us with a question, complaint, or refund request, we keep that correspondence to respond to you and for our records.
3. Basket data stored on your device
When you add a product to your basket, we store that choice locally in your browser (using a technology called localStorage), so your basket persists as you move between pages. This information stays on your device, is never sent to us or any third party, does not identify you personally, and is not used for tracking or advertising. It's cleared if you clear your browser data.
4. Payment processing
Payments are processed by a third-party payment provider. When you check out, the payment details you enter are sent directly to that provider under their own privacy policy and security standards — we do not see or store your full card number, expiry date, or security code.
5. How we use your data
We use the data described above only to: deliver the product(s) you've purchased, respond to your questions or support requests, meet our legal and accounting obligations (for example, keeping records of sales), and detect or prevent fraud.
We do not sell your data, and we do not use it for marketing emails or advertising unless you separately and explicitly opt in to that in future.
6. Cookies and tracking
This website does not currently use tracking or advertising cookies, and does not run third-party analytics. If that changes in future, this policy will be updated and, where required, you'll be asked for consent first.
7. Who we share data with
We share the minimum necessary data with: our payment provider (to process your order), and any service we use to deliver digital files or emails to you. We do not share your data with anyone else, except where required by law.
8. How long we keep your data
We keep order and correspondence records for as long as needed to meet our legal and tax obligations (typically up to 6 years under UK tax rules), after which they are deleted or anonymised.
9. Your rights
Under UK GDPR, you have the right to: ask what personal data we hold about you, ask us to correct inaccurate data, ask us to delete your data (subject to our legal obligations, e.g. tax records), object to or restrict certain processing, and request a copy of your data in a portable format.
To exercise any of these rights, email scanpraise@outlook.com. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk if you're unhappy with how we've handled your data.
10. Children's privacy
Our products and this website are intended for adults aged 18 and over, in line with our Terms & Conditions. We do not knowingly collect data from children.
11. Changes to this policy
We may update this policy from time to time, for example as our products, tools, or the law change. The "last updated" date at the top of this page shows when it was last revised.
